How your embedded form works
Build a form, style it to match your brand, paste one snippet on your site, and you're done. Here's everything you need to know — no technical background required.

Build your form — no code needed
Open the Form Builder from your dashboard and click New form. Use the Build tab to add the fields you need: short text, long text, email, phone, number, single-choice, multi-choice, or date. Drag fields to reorder them, mark any field as required, and give each one a label your visitors will understand.
Match your site's look — Theme tab
Click the Theme tab. Pick your brand's primary colour, background colour, and text colour. Choose a font, and adjust the button corner rounding. Once you publish, you can see how the form looks on the Build tab — all your theme choices will be applied there.
Publish to go live
A brand-new form is a draft — visitors can't see it yet. When you're happy with it, click Publish. The form becomes publicly accessible within a minute. The Embed tab also unlocks at this point, revealing the snippet you'll paste on your site. From then on, edits you save in the builder update the live form automatically (allow up to a minute for the change to reach visitors due to caching).
Add it to your site — paste the snippet once
Go to the Embed tab (available after publishing) and copy the iframe snippet shown there. Paste it anywhere on your website — inside a page, a blog post, or a contact section. You only ever paste it once. Every future change you publish in Crow updates the form automatically — your web team doesn't need to touch anything again.
Send an instant confirmation — Confirmation Email tab
Open the Confirmation Email tab in the form builder and toggle on 'Send confirmation email'. Write a subject line and message body — use {{first_name}} to personalise it with the visitor's name. Crow sends the email immediately to the address they submitted. Toggle it off at any time if you'd rather send follow-ups from your CRM instead.

What happens when someone submits?
Three things happen at once, every time.
Saved in Crow
Every submission is stored in your Crow account. Open the form from your dashboard and click Responses to see them listed with a relative timestamp (e.g. "2 hours ago"). Export to CSV for the exact date and time of each submission.
Visible in Reports
The Reports page has a Form Leads tab that shows every submission across all your forms in one place. Filter by page, search by name or field value, and export to CSV — without opening each form individually. Each row shows a webhook status dot so you can spot failed deliveries at a glance.
Exported whenever you need
From the Responses view or the Form Leads tab in Reports, click Export CSV to download all submissions as a spreadsheet — with one column per field and a CRM delivery status column.
Forwarded to your tools
In the CRM / Webhooks tab you can add a webhook URL (any HTTP endpoint) or a Zapier webhook. Each new submission is posted there automatically. If the delivery fails, Crow retries a few times before marking it as failed — the submission itself is always saved in Crow regardless.
Tracking form completions in Google Analytics
Want to see form submissions as conversion events in GA4? There are two ways — pick whichever fits how your site is set up. Both require GA4 to already be installed on your site.
Option A — Paste the tracking snippet
Copy the GA4 snippet from the Embed tab and paste it before the closing tag of your page — on the same page as the embedded form. It listens for the form submission and fires a generate_lead event into your existing Google Analytics account. Note: GA4 must already be installed on your site for this to work; the snippet does not set up GA4 itself.
Option B — Use Google Tag Manager
Already using GTM? Download the pre-built GTM container from the Embed tab and import it into your GTM workspace. It includes the form-submission event listener, the trigger, and a GA4 conversion tag pre-wired for GTM. Update the tag to point at your existing GA4 Configuration tag, then publish your GTM container.
Where to find these: Open your form → click the Embed tab → scroll down to the Analytics section. Copy the snippet or download the GTM container from there.
